Terms of Service

Welcome to ButterFile. Please read these Terms of Service carefully before using the service.

By accessing or using ButterFile, you agree to be bound by these Terms and our Privacy Policy. If you do not agree, you may not use the service.

1. The Service

ButterFile is an AI-powered document extraction service that converts documents (PDFs, images, and other files) into structured spreadsheet data. The service includes template management, batch document processing, optional Google Drive and Google Sheets integrations, and subscription-based usage credits.

2. Eligibility

You must be at least 13 years of age to use ButterFile. By using the service, you represent that you meet this requirement and that the information you provide is accurate and current.

If you are using ButterFile on behalf of an organization, you represent that you have the authority to bind that organization to these Terms.

3. Accounts and Security

You may sign in using your Google account. You are responsible for:

  • Maintaining the confidentiality of your account and session
  • All activities that occur under your account
  • Ensuring that members of your organization use the service in compliance with these Terms

If you suspect unauthorized access to your account, you must notify us promptly at contact@butterfile.io.

4. User Content

You retain full ownership of any documents, files, templates, and data you upload or create using ButterFile ("User Content").

By uploading content, you grant ButterFile a limited, non-exclusive, worldwide, royalty-free licence to process, store, and transmit your User Content solely for the purpose of providing the service to you. This licence ends when you delete the content or close your account.

We do not use your User Content to train AI models or share it with third parties except as described in our Privacy Policy.

5. Prohibited Activities

You agree not to:

  • Violate any applicable laws or regulations
  • Upload documents containing malicious software, viruses, or harmful code
  • Attempt unauthorized access to ButterFile's systems, servers, or other users' data
  • Reverse-engineer, decompile, or otherwise attempt to extract the source code of the service
  • Use the service to process content that infringes on the intellectual property rights of others
  • Circumvent usage limits, credit systems, or billing controls
  • Use automated scripts to submit excessive processing jobs in a manner that disrupts service for other users
  • Resell, sublicense, or otherwise commercialize access to the service without our prior written consent

6. Usage Credits and Subscriptions

Access to processing features requires usage credits. Credits may be included in your subscription plan or purchased separately.

  • Credits are non-transferable and may be refunded only in accordance with Section 7 of these Terms
  • Unused credits expire in accordance with your plan terms
  • We reserve the right to adjust credit pricing and plan features with at least 14 days' notice via email or in-app notification
  • Subscription billing is handled by Stripe. By subscribing, you also agree to Stripe's Terms of Service

6.1 When Credits Are Consumed

Credits are consumed when the service begins processing your document, and are counted per page. They are not counted by how much data is extracted.

  • A document that is processed successfully but contains no data to extract, for example a blank page, a failed scan, or a form with no line items, has consumed its credits. The processing was performed and the result, that there is nothing to extract, is the answer to your request.
  • A file the service refuses before processing begins, for example a corrupted file, an unsupported file type, or a file above the size limit, does not consume credits.
  • Re-reading a document you have already processed, including with additional instructions, is a new request and consumes credits again, per page.

  • การสั่งอ่านเอกสารเดิมซ้ำ รวมถึงการอ่านใหม่พร้อมคำสั่งเพิ่มเติม ถือเป็นคำขอใหม่ และหักเครดิตอีกครั้งตามจำนวนหน้า

7. Refunds

7.1 Eligibility

You may submit a refund request by contacting us at contact@butterfile.io. Refund requests are evaluated on a case-by-case basis. A refund may be granted where the circumstances of your request fall within the conditions we deem eligible under our refund policy, as determined at our reasonable discretion.

7.2 Refund Processing

Where a refund is approved:

  • The refunded amount will be returned to your original payment method within 5 to 7 business days, subject to your card issuer's processing time
  • Refunds are processed through Stripe and may take additional time to appear on your statement depending on your bank or payment provider

7.3 Effect on Subscription and Credits

Upon approval and processing of a refund:

  • Your subscription plan will be immediately downgraded to the Free plan
  • All usage credits associated with the refunded subscription period will be revoked, including any credits carried over from prior billing periods
  • Credits already consumed prior to the refund request will not be restored
  • Any features or capabilities available exclusively under a paid plan will no longer be accessible

7.4 Non-Refundable Items

The following are not eligible for refund:

  • Credits that have already been consumed, as defined in Section 6.1 (เครดิตที่ถูกหักไปแล้วตามข้อ 6.1)
  • Subscription periods that have already elapsed at the time of the request, unless exceptional circumstances apply
  • Accounts found to be in violation of these Terms

8. Third-Party Integrations

ButterFile allows you to connect third-party services including Google Drive and Google Sheets. Your use of those services is subject to their respective terms and privacy policies. ButterFile is not responsible for the availability, accuracy, or conduct of any third-party service.

You are responsible for ensuring you have the right to share any content from those services with ButterFile for processing.

9. Intellectual Property

ButterFile and its original content, features, and functionality (including the brand name, logo, templates provided by ButterFile, and the underlying AI extraction technology) are owned by ButterFile and protected by applicable intellectual property laws.

These Terms do not grant you any rights to use ButterFile's trademarks, logos, or proprietary content.

10. Service Availability

We will make reasonable efforts to keep ButterFile available and reliable. However:

  • We may modify, suspend, or discontinue any part of the service at any time, with or without notice
  • We do not guarantee uninterrupted, error-free availability
  • Scheduled maintenance or unexpected outages may occur

We will not be liable to you or any third party for any modification, suspension, or discontinuation of the service.

11. Disclaimer of Warranties

ButterFile is provided on an "as is" and "as available" basis, without warranties of any kind, either express or implied, including but not limited to:

  • Merchantability or fitness for a particular purpose
  • Accuracy or completeness of extracted data (OCR and AI outputs may contain errors)
  • Uninterrupted or error-free operation

You are responsible for verifying the accuracy of any data extracted by the service before relying on it for business, legal, financial, or other purposes.

12. Limitation of Liability

To the maximum extent permitted by applicable law, ButterFile and its operators shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from:

  • Your use of or inability to use the service
  • Errors or inaccuracies in extracted data
  • Unauthorized access to your account or data
  • Any interruption or cessation of the service

Our total liability to you for any claim arising out of these Terms or your use of the service shall not exceed the amount you paid to ButterFile in the three (3) months preceding the claim.

13. Indemnification

You agree to indemnify and hold harmless ButterFile and its operators from any claims, losses, damages, liabilities, and expenses (including legal fees) arising from your use of the service, your User Content, or your violation of these Terms.

14. Termination

We may suspend or terminate your access to ButterFile at any time if we reasonably believe you have violated these Terms or are using the service in a manner that poses risk to other users or the service itself.

Upon termination:

  • Your access to the service will be revoked
  • Your User Content may be retained for a limited period before deletion, in accordance with our Privacy Policy
  • Any outstanding payment obligations remain due

You may stop using the service at any time. Deletion of your account may be requested by contacting us.

15. Force Majeure

ButterFile shall not be liable for any failure or delay in performance resulting from causes beyond our reasonable control, including but not limited to: acts of nature, internet or network outages, third-party service failures (including Google Cloud, Stripe, or other infrastructure providers), government actions, or other events outside our control. We will make reasonable efforts to resume the service as soon as practicable.

16. Severability and Entire Agreement

If any provision of these Terms is found to be invalid or unenforceable by a court of competent jurisdiction, the remaining provisions will continue in full force and effect.

These Terms, together with our Privacy Policy, constitute the entire agreement between you and ButterFile regarding your use of the service and supersede all prior agreements or understandings.

Failure by ButterFile to enforce any right or provision of these Terms shall not constitute a waiver of that right or provision.

17. Governing Law

These Terms are governed by the laws of Thailand. Any disputes arising out of or in connection with these Terms shall be subject to the jurisdiction of the courts of Thailand.

18. Changes to Terms

We may update these Terms from time to time. When we make material changes, we will update the "Last updated" date at the top of this page. Continued use of the service after updated Terms are posted constitutes your acceptance of the revised Terms.
